When to convert, and when not to

Convert XLSX to PNG when you want to paste a quick snapshot of a table or chart into a document, slide, or email, or post it on a website, without handing over the underlying data file.

Keep the XLSX if the recipient needs to sort, filter, recalculate, or otherwise work with the numbers, because a PNG is just a picture and none of that data is usable inside it.

Why not just use an online converter?

Spreadsheets often hold things you wouldn't want on a stranger's server, salaries, budgets, customer lists, personal numbers. An online converter has to upload the whole file, including any hidden sheets or cells, just to hand you back a picture of it. Converting on your own computer means that data never leaves your machine.

Questions

Does converting XLSX to PNG lose any data?

Only in the sense that a picture can't be edited. Whatever cells or print area you export becomes a fixed image, and anything outside that view, like other sheets or off-screen columns, isn't included unless you export those too.

Will the numbers in the image update automatically?

No. A PNG is a snapshot frozen at the moment you convert it. If the spreadsheet changes later, you'd need to convert it again to get an updated image.

Can I convert just one sheet, or a specific range of cells?

Yes. You set the print area or pick the sheet you want before converting, and only that section becomes the PNG.

Does the PNG keep the colors, borders, and fonts from the sheet?

Yes. Since it's a rendered picture of the sheet, cell shading, borders, and fonts all carry over as they appear.
